Job description

Our client, a major O&G company, is looking for a MSP Administrative Assistant to work within their facilities in San Ramon, CA.

Responsibilities for this position may include but are not limited to:

  • Provides comprehensive and confidential legal support for Subsidiary Governance and Corporate Governance
  • Assists with compiling materials for committee meetings
  • Assists with departments document execution service by reviewing and processing document execution requests
  • Drafts and circulates for execution Board and shareholder consents related to annual meetings, appointment changes, dividends and capital contributions
  • Prepares and files qualifications, registrations, and withdrawals of subsidiary companies in appropriate states or jurisdictions
  • Assists with personnel change notifications, including running reports, preparing and circulating resignation letters, and updating SharePoint and Blueprint OneWorld database
  • Assists with the preparation of shareholder proxies, secretary's certificates, and legalizations
  • Handles sensitive/confidential materials
  • Coordinates Subsidiary Governance team meetings and other staff meetings as requested
  • Contributes to team effort by accomplishing other special project/tasks/assignments as needed

MUST HAVE:

  • High school degree or equivalent
  • 2-4 years experience as an Administrative Assistant
  • Intermediate to advance computer skills in Adobe PDF and Microsoft Office Suite (Word and Outlook will be the main tools used)
  • Ability to maintain a high level of confidentiality and adapt to changing needs and deadlines

Preferred Qualifications:

  • Knowledgeable in SharePoint and Blueprint OneWorld database
  • Experience working in a legal department or law firm
  • General knowledge of legal concepts and processes
