Records Management Lead
The Records Management Lead is responsible for the leadership, strategic planning, implementation, and effective management of records and associated governance at IPL.

  • Accountable for the maintenance and accuracy of IPL's Records Classification and Retention Schedules, including the assessment of records, and determining if new records need to be added
  • Support the implementation and socialization of the modern Classification and Retention Schedules - ensure they can be easily managed, accessed, understood, and applied by all IPL staff
  • Establish and maintain a framework of standards and procedures for electronic & paper disposition - leveraging existing solutions where possible
  • Proactively monitor legislative, regulatory and best practice developments which may impact IPL, and inform senior leadership of relevant operational requirements, legislative and regulatory matters
  • Conduct a regular review and assessment of program and operations, integrating best practices and continuous improvements to systems, processes and controls - both internally and with external vendors
  • Advise leaders at all levels on adequacy of documentation (compliance) and management of records and information assets; consult on technology solutions for email archiving, e-discovery, legal holds and records management software
    • Report to senior management on progress and overall participation in records management
  • Manage IPL's paper records storage provider and associated circulation, disposition, and entry processes
  • Responsible for lifecycle management of both physical and electronic records, to include:
    • Capturing records, with support from Records Coordinators and Records Custodians
    • Storage of records in appropriate and secure manner
    • Retention of records in accordance with corporate retention schedules
    • Manage the retrieval and accessibility of records as required
    • Proper destruction of records per the retention schedule
    • Support the legal hold processes
  • Serving as a trusted records advisor to help the client and records stakeholders navigate the daily challenges of a records management program

Resource Requirements:

  • 10+ years in the Records Management or Information Management field
  • 10+ years in the Oil & Gas Industry
  • Experience creating at least 1 enterprise retention schedule / file plan for a company larger than 500 people
  • Broad knowledge of Alberta legislation and regulations that govern information and retention
  • 5+ years' experience working with Electronic content management & Records systems
  • Post-secondary education in a related field such as Library or information science or public administration is desired
  • Relevant certifications including CRM would be an asset
