Responsibilities:
- Assist the Procurement team daily by responding to the various requests of the team;
- Management of various correspondence and purchasing documents: Customer, Subcontractors, etc. (preparation/drafting of letters, signature, dispatch according to the procedures of the project ...);
- Management of meeting minutes issued by the people of the purchasing team (formatting of minutes, sending for signature, dissemination according to project procedures, storage in the project's documentary databases, etc.);
- Maintenance of the GAIA correspondence database (mail registration/minutes),
- Maintenance of monitoring tables (correspondences, orders, etc.)
- Receipt and distribution of offers and orders
- Organize meetings internally and with suppliers;
- Receive, format, distribute and classify correspondence relating to Procurement & Logistics according to the protocol put in place;
- Interface with external and internal stakeholders;
- Archiving Procurement mailbox management
- Other miscellaneous secretarial tasks versatility (Project, Procurement, Client...)
- Good level of English/French
- Knowledge of Office 365
- Soft skills such as adaptability and good aptitude for teamwork, flexibility, autonomy
- Ethical, rigor and respect for the rules
