How do I create a new timesheet?

Lets get started on timesheets! Here's how to create a new one.

1. Open a new timesheet by clicking the plus sign on the corner of the timesheet card.

2. Select the client for the timesheet.

Tip: If you are working for one client, you will only see one client name.

 

3. Select your job title for the timesheet. Once the client company and job title are selected, click "Next".

Tip: If you only have one position with the client, you will only see one option.

 

4.  Select the year and month for your timesheet. Next, select the period for the timesheet. Once selected, click "Next".

5.  Enter your work location on the first row of the timesheet by typing the location name.

Tip: If you worked in multiple locations, an additional line can be added later for other locations by clicking on the "+" icon.

 

6. Select the work type for the first line of the timesheet.

Tip: If more than one work type is required for the date range, an additional line with a different work type can be added later.

 

7. Type in your cost code. This will either be an AFE code or a Cost Centre code.

If your code is an AFE (Project Budgets), then it should be formatted like this: XXXXX (AFE Code) XXX (Item/CBS Code)

 

If your code is a Cost Centre (General Budgets), then it should be formatted like this: XXXXX (AFE Code) XXX (Item/CBS Code)

 

8. (Optional) If necessary, add a comment or description for the time entered by clicking on the comments field.

Once the necessary information is added, click "Save" to save your comments.

Tip: The comment field can be used to specify things like project codes or the reason for leave.

 

9.  If you worked on that day, click on the cell and enter the number of hours worked that day. Use the scroll bar to navigate to the days in the period.

Only days within the timesheet period will be available.

 

If you work on a day rate, click on the cell of the relevant day and enter "1". Use the scroll bar to navigate to the days in the period.

10. (Optional) If claiming per diem is necessary, click on the arrow to uncollapse the per diem menu and mark the days in which per diem is applicable.

Tip: Use the scroll bar to navigate to the days in which you would like to claim per diem.

 

11. To add a new line to a timesheet, click on the plus button. Details of the new line can be changed directly on the timesheet by following the same steps you did for the first row.

New lines can be used when you worked with multiple locations, work types or project codes within a single month.

 

12. (Optional) To attach supporting documents to a timesheet, either drag and drop the file or click on "browse".

Tip: Use the attachments to attach supporting documents such as a doctor's notice for a sick leave.

 

13. When the timesheet is complete and you are ready to submit it to your line manager, click on "Submit Month".

Tip: Timesheets can be modified and resubmitted at any time until the timesheet is approved by your manager.

If you want to save the timesheet and complete it later, click "Save Month". 

If you want to edit the timesheet before submitting it, simply click on any field and make changes as needed.

 

14. Select your approver from the dropdown and click "Submit".

Tip: If you can't find your approver to select, click "request a new one" to request that a new approver is added. 

 

Now your timesheet has been routed to your Line Manager for approval.

Rest assured that you will be notified by email when it is approved.

Tip: Note that your timesheet status is now changed to "Submitted"
