Airswift is seeking a Contracts Specialist to join our mining client in British Columbia. Reporting to the Superintendent of Materials Management, this role is responsible for managing contract activities.

Responsibilities

  • Practice safe work behaviors and support the safety culture by participating in daily and monthly safety meetings and initiatives.
  • Provide reports and attend meetings to update on current activities.
  • Coordinate contracts, including the development and issuance of RFPs:
    • Obtain competitive pricing information from vendors and suppliers through the RFP process.
    • Handle service-related contracts and inventory commodities.
    • Negotiate terms, conditions, and pricing.
    • Coordinate and host bidders' meetings when necessary.
    • Generate reports, including commercial evaluations and budget reports.
  • Coordinate with Document Control to ensure proper maintenance and filing of documentation.
  • Prepare and manage RFP documentation, Purchase Orders, and Contracts in accordance with company policies and procedures accurately and promptly.
  • Work with suppliers to reduce costs by identifying opportunities and process improvements.
  • Maintain strong communication with end users/requestors to ensure timely satisfaction of needs.
  • Actively contribute to managing vendor selection, vendor performance, and continuous improvement of both the contractual relationship and departmental processes.
  • Coordinate with Accounts Payable to ensure accurate and timely payment of invoices, address discrepancies, and mediate disputes between A/P and vendors.
  • Perform other responsibilities related to the contracts specialist role as required or assigned by the department head.

Education & Experience

  • Post-secondary degree or diploma in a technical discipline or a bachelor’s degree in business or a closely related field, with equivalent experience in technical environments considered an asset.
  • PMAC’s Certified Professional Purchaser (CPP) or ASCM’s Supply Chain Management Professional (SCMP) designations are considered assets.
  • Minimum of three years of relevant work experience in a Contracts/Procurement role in mining or a similar industrial environment.
  • Experience with Document Control systems such as SharePoint, Aconex, or Kahua.
  • Experience with contract law and the ability to confidently and appropriately draft and amend contract clauses.
  • Experience with ERP systems; experience with IBM Maximo and SAP is considered an asset.
  • Proficient in Google Workspace and Adobe/Nitro/PDF software.
  • Possess a valid Class 5 or 7 driver’s license and have access to personal transportation.
