Our client, a major oil and gas operator in Papua New Guinea, is looking for a Document Controller to join their team in Port Moresby on a contract basis.  

Job Dimensions
  • Primary responsibility is to manage and control the flow of documents within an organization. Ensure that all documents are properly categorized, stored, and accessible to the relevant personnel.
  • Document Controller role is crucial in maintaining accurate and up-to-date documentation, supporting efficient workflow processes, and ensuring compliance with regulatory requirements.

Document Management:
  • Develop and implement document control procedures to ensure effective document management.
  • Establish document control processes, including document creation, review, approval, distribution, and archiving.
  • Administrate Company Management System.
  • Classify and categorize documents according to established standards and ensure appropriate access permissions: soft and hard copies.
Document Control Processes:
  • Receive, register, and log incoming and outgoing documents, ensuring accuracy and completeness of information.
  • Coordinate document review and approval processes, tracking progress and ensuring timely completion.
  • Collaborate with cross-functional teams to resolve document-related issues, discrepancies, or non-compliance.
Documentation Accuracy and Integrity:
  • Perform regular audits to ensure document accuracy, completeness, and adherence to established standards.
  • Monitor and enforce document naming conventions, formatting, and version control to maintain data integrity.
  • Implement measures to safeguard confidential and sensitive documents from unauthorized access or loss.
Collaboration and Communication:
  • Collaborate with various stakeholders, including project management, to understand document requirements and priorities.
  • Provide guidance and support to employees on document control procedures and CMS.
  • Facilitate effective information exchange by distributing documents to appropriate personnel in a timely manner.
Continuous Improvement:
  • Identify opportunities for process improvement and efficiency enhancement in document control practices.
  • Stay updated on industry trends, best practices, and regulatory requirements related to document management.
  • Recommend and implement software tools or technologies to streamline document control activities.
Context and environment
  • Operating the second LNG project for Papua New Guinea
  • Compliance with IFC Performance standards for all Papua LNG project related activities is mandatory
  • Efficiently manage all aspects of document control, including creation, revision, distribution, and archiving of documents, ensuring accuracy, completeness, and compliance with Company standards and procedures.
Required Qualifications / Experience
  • Bachelor's degree in a relevant field or equivalent work experience. 
  • Proven experience as a Document Controller or in a similar role, preferably in Energy industry.
  • In-depth knowledge of document control principles, standards, and best practices.
  • Familiarity with Company Document Management systems and software tools.
  • Strong attention to detail and excellent organizational skills.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Effective communication and interpersonal skills to collaborate with diverse teams.
  • Proficient in using productivity tools such as Microsoft Office Suite. 
  • Understanding of data security and confidentiality principles.
  • Continuous learning mindset and willingness to adapt to evolving technologies and processes.
