The Company

Our client is an ASX-listed company in the midst of a number of highly critical business related IT projects. With several upgrade projects currently underway in their resource’s portfolio, they are looking for Project Information Management Lead to assist with this.

The Role

This role is responsible for planning and executing all aspects of Project Information Management (PIM) within the project. Additionally, this role also oversees the Electronic Document Management System (EDMS) and manages the roll-out of Project Information Management expectations.

This is a Melbourne-based contracting role.


Your Responsibilities

  • Develop and maintain the Information Management Plan, including procedures, templates, and guidelines.
  • Collaborate with the Project Information Management Advisor and stakeholders to ensure company expectations are met, covering overall strategy, staffing plans, and resources (e.g., roles and responsibilities, activities, training, specifications, checklists, databases, central files, user guides, etc.).
  • Lead and coordinate the implementation of company Project Information Management standards.
  • Ensure project information is promptly controlled, accessible, and up-to-date across all project locations.
  • Review standard contracting, procurement, and project management documents to ensure clear communication of Information Management and Document Control standards and requirements.
  • Ensure effective use of the Project Team's EDMS to support project execution, commissioning, start-up, and operations.
  • Implement and maintain the relevant document registers and distribution matrix.
  • Address IT issues related to setting up the Project Information Management System and associated databases and tools.
  • Maintain Information Management processes, including performance measurements, reporting, and contractor assessments, identifying gaps and providing recommendations.
  • In the absence of Project DFO Coordinator, provide DFO planning and act as the main contact for document turnover from the contractor to the Project Team and handover to operations.
  • Alert the Project Team management to any issues that could impact final documentation quality, cost, or schedule.
  • Conduct internal audits within the Project Team and external audits of contractor and subcontractor teams, ensuring resolution of identified issues.
  • Promote and drive capital efficiency in stewarded projects.


What you’ll need to succeed

  • Experience working in areas of technical administrative support and document management, including working experience with IT systems and tools.
  • Experience working in project technical information management assignments.
  • Expert level proficiency in Project Information Management skill area within Oil and Gas Industry.
  • Skill and experience in supervision and training of Information Management / Document Control personnel in an Oil and Gas industry project team.
  • Understanding of information and documentation needs and uses in operating oil and gas facilities.
  • Experience in a Production, Refining or Chemicals operations technical support organization is desirable.
  • High skill in written communications including proven ability to create procedures, guides and training.
  • Strong influencing, consulting, mentoring, analytical, and computing skills
  • Melbourne-based with full working Australian rights.
  • A tertiary qualification is essential.
