Airswift is seeking a Team Assistant to work on a temporary (6 months with possibility of extension) outsourced contract in Port-of-Spain (Trinidad & Tobago) with a major Oil & Gas Operator.
The Team Assistant will report to a Senior Level Leader (SLL) and will play a key role for the business by providing confidential and superior-quality secretarial and administrative support. This role is expected to interact across the business at all levels as well as with key people outside of the company, including the highest levels of the organization and high level external stakeholders.

  • Provides comprehensive administrative support services to the Leadership Team.
  • Communicates and/or coordinates the Team Leader’s instructions with various individuals and/or departments.
  • Manages and coordinates daily calendar for the Team Leader.
  • Anticipates materials needed for meetings and prepares in advance.
  • Initiates/drafts/edits correspondence for the Team Leader’s final approval; handles routine correspondence that does not require the Team Leader’s attention.
  • Develop a strong business relationship with the organization’s workgroups and understand the workflows and office procedures across the organization.
  • Compile management reporting information on behalf of the work group.
  • Ensures adherence to stringent delivery times and ability to multi-task and work in a high pressure, fast-growing, and confidential environment with changing priorities.
  • Works collaboratively with the Team in scheduling and planning all Team Meetings and Team activities.
  • Create and maintain electronic filing systems utilizing the appropriate media approved by the organization.

  • APS qualification or ABE Diploma or Associates Degree with at least 3 years’ administrative experience.
  • Broad knowledge of corporate operations and policy; high level of analytical and problem-solving skills.
  • Excellent interpersonal and communication skills (written and verbal), including networking.
  • High level of competence in planning and organizing skills.
  • Proficiency in Microsoft Office.
