Job Description

The Administrative Support Officer will provide comprehensive administrative and coordination support to ensure smooth operations across the department. This role requires adaptability, attention to detail, and strong communication skills to manage multiple priorities effectively.

Key Responsibilities:

  • Jointly manage a shared mailbox, handling stakeholder inquiries and collaborating with colleagues to deliver a high-quality service.
  • Coordinate internal and external communications.
  • Organise meetings and events, including large group meetings, peer reviews, town halls, team-building activities, VIP events, and community engagements.
  • Manage procurement of office materials, ergonomic equipment, PPE, merchandise, and catering.
  • Coordinate onboarding/offboarding processes, including internal moves.
  • Provide digital support for Microsoft Office suite.
  • Support location-based building needs, including digital signboards and desk allocations.
  • Manage document approvals and flow for signatures, meeting notes, briefing materials, and Director Execution Process.
  • Assist team members with travel arrangements, including domestic and international itineraries.
  • Support ABU Recognition and Award programs.
  • Prepare ad hoc reports and manage document scanning as required.
  • Facilitate visitor access to Chevron facilities.
  • Process green form payments, credit card payments for training courses, external venues, and other ad hoc requirements.
  • Allocate accommodation for site-based personnel and manage IVMS driver keys.
  • Occasionally travel to site as required.

Requirements

  • Proven experience in administrative support roles.
  • High attention to detail and confidentiality due to sensitive documentation.
  • Excellent written and verbal communication skills for interfacing with internal and external stakeholders.
  • Ability to work autonomously and collaboratively within a team.
  • Adaptable and flexible to last-minute changes and requests.
  • Proficient in Microsoft Office suite.
  • Willingness to travel to site occasionally.
