Position Title: Project Coordinator or Admin Assistant
Position Objective
The Project Coordinator provides administrative and coordination support to the APF Tie-In site team. The position reports to the Site Manager and liaises across all sub-teams within the project including Facilities, Pipeline, HSS, Quality, and Development.
Position Accountabilities
- Coordination of travel and visas (tracking expiry dates, booking travel, providing updates, liaising with Brisbane and POM counterparts).
- Submission of travel requests (International Travel Requests, DaWinci, etc.).
- Manage Team Tracker for site team to record personnel locations and leave, including visitors and vendor representatives.
- Manage site team distribution lists.
- Assist with setting up meetings, reserving rooms, resolving calendar conflicts.
- Coordinate desk allocations and interface with building management and Facilities Leads.
- Coordinate camp room requirements and allocations with Operations support team.
- Expense reports and corporate card reconciliations.
- Ordering PPE.
- Raise Purchase Requisitions and process invoices as needed.
- Support onboarding of new personnel (arrange Santos user IDs, computers, IT equipment).
- Order and track mobile phones and communication plans for site team members.
- Support site-based document control and correspondence.
- Coordinate and support team events.
Professional Experience
- Prior experience as an Administrative Assistant or Project Coordinator desirable.
Technical Competencies
- Broad-based IT and systems knowledge.
- Analytical/technical skills with practical problem-solving approach.
- Highly effective communication skills.
Qualifications
- Technical qualification in Administrative or Document Control-related discipline considered desirable.
