Administrator (Part-Time)

Position Overview
This position will provide essential administrative and mobility support for a technical consulting business. The role is focused on assisting with accommodation, travel arrangements and visa processes for Consultants arriving to Italy to support on an Engineering Project. The role will be required on a part-time basis (3 days per week) based in Milan for approximately 3 months. The project will then move to Ravenna.
Key Responsibilities
- Deliver strategic support for mobility and HR operations by coordinating administrative tasks related to relocation and onboarding.
- Liaise with local contacts to facilitate accommodation arrangements and visa applications for incoming personnel.
- Apply technical and customer-focused expertise to streamline and enhance process efficiency.
- Ensure all documentation for accommodation and visa procedures is accurate and submitted according to regulatory standards.
- Monitor updates in mobility and administrative requirements within the technical consulting context.
- Adhere to compliance guidelines when supporting HR and customer care activities.
- Coordinate logistics for personnel movements and required administrative actions during project execution periods.
- Collaborate with technical teams and HR departments to track progress and resolve operational challenges.
- Optimize workflow by assisting in scheduling and information management tasks.
Qualifications & Experience
- Fluency in Italian & English and familiarity with the local area to provide support.
- Technical knowledge or exposure to HR, mobility, or customer care functions within consulting environments.
- Experience handling administrative tasks and supporting visa and accommodation processes.
Key Competencies
- Organizational ability for managing multiple administrative workstreams within technical projects.
- Attention to detail when documenting and tracking compliance-related and operational information.
