One of our major oil and gas clients is seeking a Document Controller to work on a 8-month assignment in their facilities in Port Arthur, TX

Summary:
The Entry-Level Document Controller will support the Port Arthur Refinery by maintaining, organizing, and distributing controlled documentation across operations, maintenance, engineering, and project teams. This role ensures that critical documents are tracked, updated, and accessible in accordance with refinery standards, regulatory requirements, and internal quality procedures. This is an excellent opportunity for someone early in their career who is detail-oriented, process-driven, and eager to learn refinery documentation and information management systems.

Responsabilities:
Document Control & Management

  • Maintain and update controlled documents such as procedures, drawings, specifications, permits, MOCs, and project files.
  • Scan, index, and upload documents into the refinery’s Document Management System (DMS).
  • Ensure proper document numbering, version control, and revision history.
  • Track approvals, signatures, and workflow progression for documents.
  • Distribute controlled documents to appropriate stakeholders and departments.

Support to Refinery Teams

  • Assist Operations, Maintenance, Engineering, and Project groups with file searches and document retrieval.
  • Support capital projects and turnarounds by organizing drawing updates, vendor documentation, redlines, and closeout packages.
  • Coordinate with contractors to ensure compliance with refinery document submission requirements.

Compliance & Standards

  • Follow refinery documentation standards, naming conventions, and filing protocols.
  • Maintain confidentiality and secure handling of sensitive plant information.
  • Ensure documents comply with regulatory, environmental, and QA/QC guidelines.

Administrative Support

  • Maintain electronic and physical filing systems.
  • Support audits, inspections, and internal reviews by retrieving and organizing required documentation.
  • Assist with general administrative tasks as needed.

Required Qualifications

  • High school diploma or equivalent
  • Strong attention to detail, accuracy, and organization.
  • Proficient with Microsoft Office (Outlook, Excel, Word, Teams).
  • Ability to learn new software systems quickly (e.g., SharePoint, EDMS, SAP).
  • Excellent communication and customer-service skills when working with refinery personnel and contractors.
  • Ability to manage multiple priorities in a fast-paced industrial environment.
  • Comfortable working onsite at an active refinery and complying with all safety requirements & PPE standards.

Preferred Qualifications

  • Experience with any Document Management System (e.g., SAP DMS, SharePoint, Aconex, DocuShare, SmartPlant, etc.).
  • Previous administrative or documentation experience in industrial, engineering, or construction settings.
  • Familiarity with engineering drawings, P&IDs, procedures, or technical documentation.
  • Experience supporting turnaround documentation or project closeout packages.
