Global Secretary to CEO [Mandarin Speaker] Key Responsibilities

Provide full executive and personal support to the CEO, including extensive diary and travel management across multiple time zones.

Organize and coordinate high-level meetings, conferences, and events (both in-person and virtual), including agenda preparation, minutes, and follow-ups.

Serve as the primary point of contact between the CEO and internal/external stakeholders worldwide, ensuring timely and accurate communication.

Manage confidential documents, contracts, and reports with the highest level of discretion.

Anticipate CEO’s needs by preparing briefing materials, background information, and key talking points ahead of meetings.

Oversee complex travel logistics, including visas, accommodations, ground transport, and contingency planning.

Support personal matters of the CEO such as household coordination, family travel arrangements, and ad hoc tasks.

Conduct research and prepare reports, presentations, and correspondence as required.

Liaise with global teams to align schedules, priorities, and project deadlines.

Ensure the CEO’s time is maximized through effective prioritization and “gatekeeping.”

Requirements

Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting C-level executives, preferably in a global or multinational organisation.

Strong organisational and multitasking skills with the ability to manage competing priorities under pressure.

Excellent written and verbal communication skills in English (additional languages are a strong advantage).

High level of discretion, confidentiality, and professionalism.

Strong cultural awareness and ability to work seamlessly across different countries and business environments.

Advanced proficiency in Microsoft Office Suite, Google Workspace, and virtual collaboration tools (Zoom, MS Teams, Slack).

Flexibility to work outside of regular office hours to accommodate global time zones.

Bachelor’s degree preferred, but not essential with equivalent experience.
