Materials Coordinator

Job Purpose

  • Reporting directly to the Project Controls and Business Services Head, the Materials Coordinator is responsible for all activities related to Materials Management.
  • Responsible for updating the Bill of Materials (BOM) in the SAP Materials Module for projects, managing spare parts, and coordinating all materials-related activities, including support for shut?down projects.
  • Coordinate the creation of Tag Numbers and Functional Locations through relevant documentation and integrity systems.
  • Provide support in long?lead materials procurement activities.

Reporting & Relationships

  • Reports to the Project Controls and Business Services Head.
  • Must be proficient in SAP ESM/MM Modules for accurate transaction execution.
  • Ensure strict adherence to all applicable Material Management procedures

Key Job Accountabilities

 

  1. Update the Bill of Materials (BOM) in SAP upon completion of each project in coordination with relevant teams (Projects, Materials & Integrity, Planning).
  2. Receive company?procured items, coordinate receiving inspections, and hand over materials to contractors for installation. Ensure all contractor?procured items are received, inspected, issued, and reconciled according to approved procedures.
  3. Perform stock checks for project requirements, reserve and issue materials, and manage the return of surplus items to stock through the Material Return System.
  4. Hand over vendor?supplied spare parts to the warehouse with necessary documentation.
  5. Create new Material Master Templates (MMT) as required for new project needs.
  6. Create Purchase Requisitions (PRs) for new projects and coordinate with the Supply Department for procurement follow?up.
  7. Coordinate creation of Tag Numbers and Functional Locations through the appropriate systems and teams.
  8. Ensure main Tag Number and Functional Location creation during engineering stage is completed by Project/Discipline Engineers.
  9. Forward Recommended Spare Parts Lists (RSPL) to the appropriate team for record keeping and BOM updates.
  10. Coordinate handover of final vendor documentation, including critical documents such as datasheets, for updating in the SAP Data Management System.
  11. Ensure contractors follow approved procedures for site materials management, handling, storage, and preservation.
  12. Provide pre?Gate 2 support for procurement strategy alignment and obtaining budgetary pricing from vendors.
  13. Track and expedite material procurement to meet delivery dates, especially for shutdown projects.
  14. Coordinate approvals and disposal of scrap and redundant equipment through the appropriate disposal process.

Qualifications

  • Degree or Diploma in Engineering.

Knowledge & Experience

  • Experience in project materials management, warehousing, and site inventory control.
  • Strong analytical skills and structured approach in handling materials management functions.
  • Proficient in relevant computer software including SAP MM Module and MS Office.
  • Knowledge of financial and accounting procedures is an advantage.
  • Experience in technical documentation and report writing.

Technical & Business Skills

  • High proficiency in SAP Materials Management and MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to plan, monitor, and coordinate work activities independently.
  • Strong teamwork skills and ability to work well with cross?functional teams.
  • Knowledge of contract laws and industry practices is an added advantage.
