Responsibilities:

  • Answer, screen and direct telephone calls;

  • Take and relay messages;

  • Provide information to callers in accordance with company procedures;

  • Greeting visitors, offering them refreshments and directing them to the right person;

  • Collect queries from the public and customers and relay to relevant departments for response;

  • Ensure knowledge of staff movements in and out of organization;

  • Looking after the visitor’s log-book and security passes;

  • Prepare letters and documents as required;

  • Receive, sort and track mail and deliveries. receive and direct courier parcels;

  • Schedule appointments and organize meetings;

  • Maintain appointment diary either manually or electronically;

  • General administrative and clerical support to HR department as required;

  • Support recruitment process by collecting and filing CV’s as requested;

  • Monitor office safety, security and compliance with regulations;

  • Tidy up and maintain the reception area;

  • Fully adhere, at all times and irrespective of the work place, to Company Health, Safety, Environmental and Quality (HSEQ) policies, procedures and requirements.

  • Perform other related duties as assigned by Superior.
