Position Title: Senior Technical Assistant
Position Overview
We are seeking a highly organized and proactive Senior Technical Assistant to provide comprehensive administrative and technical support for project execution activities. This role involves managing clerical functions, maintaining accurate records, and ensuring smooth coordination between departments. The ideal candidate will possess strong computer skills, excellent communication abilities, and a keen understanding of project documentation processes.
Key Responsibilities
- Provide administrative and clerical support under the direction of the Project Manager and Construction Lead for the NGL-5 Project.
- Maintain confidentiality of sensitive information at all times.
- Develop and manage efficient filing systems for business correspondence, technical documents, and confidential records.
- Process incoming and outgoing mail, ensuring timely distribution and follow-up on outstanding actions.
- Liaise with internal departments to resolve administrative issues promptly.
- Prepare and process Duty Visit forms, expense claims, and office stationery requisitions.
- Maintain updated telephone directories and ensure adequate stock of office supplies.
- Coordinate safety gear distribution and arrange security passes for project staff.
Track and maintain spreadsheets for:
- Project staff details, access passes, certifications, and allowances.
- Recruitment schedules and interview coordination with HR.
- Leave plans and training programs for all project personnel.
- Support SAP data input for project handover requirements and coordinate preparation of handover dossiers.
- Ensure accurate record-keeping of project fact sheets, variations, and WCR history for instant accessibility.
- Type and prepare memos, reports, letters, and other official documents with accuracy and professionalism.
Qualifications
- Diploma or equivalent qualification with relevant training in computer software, office administration, and clerical activities.
Experience & Skills
- Minimum 5 years of experience in administrative or clerical roles, preferably within project environments.
- Advanced proficiency in MS Office applications and database development.
- Strong organizational skills with attention to detail and accuracy.
- Excellent written and verbal communication skills; ability to interact effectively with diverse teams.
- Familiarity with project execution terminology and tendering processes.
- Knowledge of PDMS Project Document Control systems and ability to cover document control duties when required.
- Demonstrated creativity, initiative, and ability to work collaboratively as part of a team.
