Job Description: Site Travel Coordinator  (Perth Based)

Location: Perth, Western Australia

Roster:  9/80. Work week start on Sunday. 

Contract duration : 1 year 


About the Role

We are seeking a highly experienced Site Travel Coordinator to support site?based operations within the Oil & Gas sector. This role is responsible for ensuring efficient administrative, travel, mobilisation, and commercial support to the project team. The position requires strong organisational capability, the ability to work autonomously, and the flexibility to support operational demands, including after?hours and on?call responsibilities.


Key Responsibilities

Site Administration & Operations Support

  • Provide full administrative support to site leadership and project teams.
  • Maintain accurate documentation, registers, reports, and compliance records.
  • Coordinate site onboarding, inductions, training records, and competency tracking.
  • Support procurement and logistics activities, including raising purchase orders and managing timesheets.
  • Liaise with internal departments, contractors, and service providers to ensure smooth site operations.

Travel, Mobilisation & Logistics

  • Manage all aspects of site travel and mobilisation for personnel, including flights, accommodation, and transport arrangements.
  • Ensure compliance with company travel policies and site requirements.
  • Maintain daily and weekly mobilisation schedules, personnel on?site lists, and POB systems.
  • Utilise DaWinci software for travel logistics, personnel tracking, and coordination.

Operational Flexibility

  • Ability to work weekends and public holidays as required, noting the working week begins on Sunday.
  • Support after?hours and on?call duties when operationally necessary.

Skills & Experience Required

  • Minimum 5 years' experience as a Travel Coordinator in the Oil & Gas sector, with strong exposure to site travel, mobilisation, and commercial operations.
  • Proven experience using DaWinci software for travel and logistics coordination.
  • Strong administrative and organisational skills with attention to detail.
  • Ability to prioritise tasks in a fast?paced environment with competing demands.
  • Excellent communication skills and stakeholder management capability.
  • Proficient in Microsoft Office Suite and relevant industry systems.
  • High level of discretion, confidentiality, and professionalism.
