Purpose
- As Senior Administrative Assistant, you enable seamless operations at a strategic level by delivering advanced administrative support for your scope of work (department, executive, or project), ensuring efficient workflows, priority alignment, and timely delivery of critical outcomes. You exhibit diplomacy and discretion, working effectively in a confidentiality environment, and demonstrating a sense of time and priority management
Responsibilities
- You develop and maintain critical documentation, ensuring accuracy, professional presentation, and timely provision of dashboards and reports to support decision-making.
- You oversee complex calendars, anticipate priorities, and proactively resolve scheduling conflicts, ensuring alignment across stakeholders.
- You coordinate and oversee travel arrangements, creating comprehensive itineraries while providing on-call support for urgent changes or issues.
- You lead and manage the organization of key meetings and events, ensuring logistics, agenda execution, and timely follow-ups support business objectives.
- You coordinate advanced internal projects, driving timelines, managing resources, and proactively identifying risks to ensure successful delivery.
- You track and reconcile budgets, manage complex expense reports, and enforce financial compliance while identifying cost optimization opportunities.
- You liaise with multiple senior stakeholders, ensuring seamless communication and resolution of escalations, while managing expectations and delivering timely updates.
- You act as a strategic partner to your line management by anticipating needs, addressing gaps in administrative workflows, and proposing improvements.
Education
- High School Diploma + Vocational Training / Advanced Technical Certificate
Experience
- Minimum of 5 to 7 years of experience in a senior administrative role, with a proven track record of managing complex administrative functions and supporting executive-level staff.
- Advanced office software (Microsoft Office Suite) to create sophisticated documents, spreadsheets, and presentations
- Fluent in writing and speaking English
