Airswift is looking for a Document Management Coordinator to support a major client in Houston, TX on a 12-month assignment

This Document Management Coordinator role offers the opportunity to support project documentation and records turnover within a fast-paced technical environment, working with cross-functional stakeholders to maintain accurate asset and document information.

This position is focused on gas transmission projects and the management of project documentation, asset data, and turnover records across the project lifecycle.

The Document Management Coordinator will contribute to the effective control, tracking, validation, and turnover of project records, helping ensure documentation is compiled and managed in line with business unit requirements.

Responsibilities

  • Deliver Document Control and Records Turnover services for gas projects throughout the project lifecycle.

  • Manage engineering and vendor data upload, create asset tagging, and maintain file management for document and submittal uploads.

  • Compile project turnover documentation and validate equipment tag data against vendor and commissioning records.

  • Coordinate with internal and external parties to support timely turnover of vendor records and final vendor data book requirements.

  • Audit records, asset data, and metadata, and address record and data deficiencies with stakeholders.

  • Support the development of data management standards, practices, and protocols.

  • Interpret project-specific business requirements and align records turnover with project lifecycle gating methodologies and compliance standards.

  • Use SharePoint, Excel, Word, PowerBI, Bluebeam, Adobe Acrobat, Kahua, OneDrive, and Teams to support project management and information management activities.

Requirements:

  • Diploma in Information/Business Analysis/Records Management/Library Studies or equivalent post-secondary education coupled with relevant experience.

  • A minimum of three (3) years of experience in a project environment or equivalent related field.

  • Demonstrated expertise in identifying, tracking, and managing data pertaining to assets.

  • Proven ability to work autonomously and with minimal supervision.

  • Strong computer skills, including advanced proficiency in Microsoft Office Suite, SharePoint, OneDrive, and Teams.

  • Experience and/or developmental knowledge of SharePoint or other document control systems.

  • Exceptional analytical, interpretive, organizational, and problem-solving skills.

  • Outstanding communication skills, both written and oral.

  • Keen attention to detail.
