About the Role
Airswift is seeking an experienced People Coordinator to join our client’s NWS Offshore team. This position plays a vital role in supporting the NWS Offshore Asset Leadership Team, as well as the North Rankin (NRC) and ANG asset teams, ensuring seamless coordination across travel, administration, service delivery, and business process improvement initiatives.
You will act as a key interface across the department, supporting day?to?day operations and contributing to the successful delivery of improvement initiatives across NWS Offshore and the wider NWS Business Unit.
Key Responsibilities
Purchase2Pay / S4 Support
- Process invoices in line with Woodside standards, ensuring accuracy and timeliness.
- Create purchase requisitions and purchase orders (annual and ad?hoc), including service entries.
- Upload work packs and provide onsite S4Hana support as required.
- Conduct general data?entry and administrative support within S4Hana.
- Support onboarding of new starters and maintain service provider records via Simple Start.
- Manage payments for mandatory training, accommodation, and procurement?related requirements.
Travel & Logistics Coordination
- Coordinate travel bookings, amendments, and mobilisation activities for offshore personnel.
- Provide training and mentoring to vendors on onboarding and compliance with Woodside offshore systems.
Management Assistance
- Deliver high?level administrative and secretarial support to the Asset Leadership Team.
- Assist with calendar management for the Asset Manager (as required) and maintain the wider asset calendar via the NWSGasAdmin inbox.
- Facilitate effective interfaces with the NWS base business.
- Coordinate team events, workshops, and catering requirements.
- Manage recognition and rewards programs for the NWS Offshore team.
Skills & Experience Required
- Ability to work independently and operate with minimal supervision.
- Strong organisational and communication skills.
- Minimum 5 years’ experience coordinating high?volume travel or staff mobilisation.
- Previous administration or travel coordination experience within an operational site environment—preferably in the energy or resources sector.
- Ability to travel offshore and complete mandatory offshore training (MSIC, BOSIET, etc.).
- Demonstrated stakeholder management experience with internal and external groups.
- Intermediate S4Hana access and training.
- VPOB, Woodchip and P6 system exposure or training (advantageous).
- Advanced capability across Microsoft Office 365.
- Experience working with PowerBI, SharePoint, or document management systems.
