Position Overview

This Administrative Assistant opportunity is suited to a highly organised professional with strong experience supporting executive-level environments. The Administrative Assistant will play a key role in maintaining the smooth day-to-day operation of a busy executive floor, supporting coordination, communication, and high standards of service delivery. This Administrative Assistant position offers varied responsibilities across visitor management, meeting support, facilities coordination, and executive assistance. The Administrative Assistant will also contribute to a professional, well-run environment where attention to detail, discretion, and adaptability are essential.

Role Context

This role is within the oil and gas sector and supports an executive-floor environment. The position involves working across a high-profile office setting with responsibility for floor coordination, visitor access oversight, meeting support, and assistance to senior executive support teams.

Key Responsibilities

  • Manage conference room bookings and support day-to-day floor activities.

  • Oversee visitor access and support secure floor entry procedures.

  • Maintain executive spaces, including conference rooms and shared refreshment areas.

  • Support high-level meetings and events, including coordination of catering requirements.

  • Provide assistance to executive support teams as needed across the floor.

  • Handle mailings and coordinate floor maintenance requests.

  • Maintain the floor distribution list and floor plan information.

  • Provide basic support with conference room audiovisual troubleshooting.

  • Liaise with external vendors in relation to catering and repair requirements.

  • Assist with emergency preparedness activities, including awareness of building safety procedures.

Qualifications & Experience

  • Essential:

    Minimum 5 years of receptionist or administrative experience.

  • Essential:

    Strong organisational and multitasking skills.

  • Essential:

    Excellent verbal and written communication skills.

  • Essential:

    Ability to maintain confidentiality and handle sensitive information.

  • Essential:

    Professional demeanour and polished presentation.

  • Essential:

    Proficiency in Microsoft Office Suite and visitor management systems.
