We are looking for an experienced Subcontract / Equipment Coordinator to join our Supply Department. In this role, you will be responsible for managing supplier activities after purchase orders have been issued for fabricated equipment and engineered items. Acting as the single point of contact between suppliers and internal stakeholders, you will ensure that equipment is delivered on time, within budget, and in full compliance with project specifications and quality requirements. The position requires close collaboration with Procurement, Engineering, Quality Control, Logistics, and Project Teams to ensure successful execution of equipment supply packages. Typical equipment includes chemical dosing systems, polishing plants, pumps, burners, SCR systems, and other process equipment used in the energy and industrial sectors.
Key Responsibilities
Coordinate and monitor supplier activities from purchase order award through final delivery.
Ensure timely receipt and review of vendor documentation in accordance with the Vendor Document Requirement Sheet (VDRS).
Track manufacturing and production progress, ensuring suppliers meet contractual milestones and delivery schedules.
Conduct regular supplier follow-ups, progress reviews, and expediting activities, including supplier visits when required.
Coordinate the complete supply process to ensure deliveries are executed on time, within budget, and according to technical specifications.
Arrange inspection notifications and coordinate quality inspections in accordance with Inspection & Test Plans (ITPs) and purchase order requirements.
Collect and manage logistics documentation, ensuring all required transport and shipping documents are available to the Logistics department.
Work closely with Procurement/Buyers who maintain commercial responsibility for purchase orders.
Maintain accurate records and perform all required administrative and reporting activities.
Provide regular delivery status updates and supply chain progress reports to project teams and stakeholders.
Liaise effectively with internal departments including Engineering, Quality Control, Logistics, Procurement, and Project Management.
Experience
Several years of experience in a similar Equipment Coordination, Expediting, Supply Chain, Procurement, or Project Supply role.
Experience within the Energy, Oil & Gas, Petrochemical, Power Generation, or Process Industries.
Knowledge of equipment manufacturing processes and supply chain management for engineered equipment packages.
Experience coordinating international suppliers and manufacturing facilities.
Technical Knowledge
Strong understanding of vendor documentation requirements and contract administration.
Knowledge of quality standards, inspection processes, and quality assurance requirements.
Familiarity with manufacturing processes for industrial equipment such as pumps, burners, chemical dosing systems, SCR systems, and related equipment.
Experience with logistics documentation and international shipment processes.
Proficiency with ERP systems and standard business software applications.
