Fleet Administrator opportunity supporting fleet maintenance and asset coordination within a field-office environment, with travel to off-site locations as required.

Role Context

This position supports the scheduling, tracking, coordination, and documentation of fleet maintenance and repairs, helping maintain accurate asset records and operational continuity across vehicle-related activity.

About the Role

The Fleet Administrator will contribute to the management of fleet assets by coordinating maintenance needs, documenting vehicle history, and supporting the organisation of related records and communications. The Fleet Administrator plays an important part in ensuring fleet activity is tracked and managed in a systematic and auditable manner.

Key Responsibilities

  • Solicit written quotations for purchases, leases, rentals, repairs and costs of fleet assets.

  • Research, seek, and secure alternative sources of services.

  • Maintain documents in a systematic and auditable fashion.

  • Communicate with management resources, budget holders, maintenance, operations and other office personnel to determine and coordinate maintenance and repair needs.

  • Track vehicle utilization, historical data including owner inspections, repairs, operating costs and other asset information.

  • Document and track vehicle allocation and changes.

  • Coordinate vehicle inspections, registration and required maintenance scheduling.

Required Experience & Qualifications

  • Must possess mathematical abilities and a knowledge of asset management.

  • Highly detail oriented, organized, punctual.

  • Demonstrated ability to communicate effectively in written and oral forms.

  • Comprehensive understanding in the use of PC equipment including software such MS Office, Word, Power point, Outlook, SAP (or equivalent program).

  • Active learner, self-starter/motivated.

  • Ability and willingness to work a flexible full-time schedule that may include weekends.

  • Three (3) years asset management-related experience.

  • Preferred Education: Associate degree or equivalent work experience.
