One of our major oil and gas clients is seeking a HSE Administrative Assistant to work on a 1-year assignment in their facilities in Carlsbad, NM.
Summary: This role is primarily focused on executive and administrative support within an HSE environment. The ideal candidate will have excellent communication skills, strong Microsoft Office and SharePoint experience, and the ability to work with both leadership and operational teams. HSE exposure is helpful but not required, making this a great opportunity for someone looking to enter the energy industry and learn the business.
Responsabilities:
- Provide high-level administrative support to senior leadership and HSE management teams.
- Coordinate calendars, schedule meetings, and manage travel arrangements.
- Prepare correspondence, reports, presentations, and other business documents.
- Serve as a key point of contact between managers, employees, and cross-functional teams.
- Support document management, records retention, and archiving activities.
- Assist employees with completing administrative processes and maintaining compliance-related documentation.
- Maintain and organize information within SharePoint and other Microsoft Office applications.
- Collaborate closely with HSE and Operations teams to support daily business activities.
- Handle confidential information with professionalism and discretion.
Prioritize multiple tasks and manage competing deadlines in a fast-paced environment.
Requirements
- Strong verbal and written communication skills with the ability to interact effectively at all levels of the organization.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and SharePoint.
- Excellent organizational, coordination, and multitasking abilities.
- Strong customer service mindset and professional demeanor.
- Ability to work independently with minimal supervision.
- Experience supporting managers, leadership teams, or large departments preferred.
- Prior administrative experience in a corporate environment.
Preferred:
- Exposure to Health, Safety & Environment (HSE) functions or experience supporting HSE-related teams.
- Experience working with document control, records management, or compliance-related processes.
- Background in energy, industrial, manufacturing, or similar industries is a plus, but candidates from other industries will also be considered.
- Degree is not required; relevant work experience and strong communication skills are valued more heavily.
