The Project

As part of a major international Subsea project in Mozambique, we are looking for an experienced Personnel Coordinator to support logistics and personnel movement activities during the project execution phase

The successful candidate will play a key role in coordinating workforce mobilization and travel logistics, ensuring personnel can be deployed efficiently and in compliance with project requirements. Operating from Paris, you will work closely with project, operations, logistics, and offshore teams in a dynamic international environment

This position offers the opportunity to contribute to a high-profile energy project while collaborating with multidisciplinary teams and stakeholders across multiple locations


The Role

As a Personnel Coordinator, you will be responsible for planning, organizing, and monitoring all personnel movement activities associated with the project

You will ensure the smooth execution of travel, immigration, accommodation, and crew-change activities while maintaining compliance with project procedures, schedules, and operational requirements


Key Responsibilities

Personnel Mobilization & Logistics Coordination

  • Coordinate personnel movements before and during project execution
  • Manage immigration and visa application processes
  • Organize international and domestic flight bookings
  • Coordinate hotel accommodation arrangements
  • Ensure transportation logistics are planned and executed efficiently
  • Monitor mobilization schedules and personnel availability
  • Support workforce planning activities in collaboration with operations teams

Crew Change Management

  • Coordinate crew-change logistics for project personnel
  • Maintain accurate records of personnel travel and mobilization status
  • Ensure timely communication with employees, contractors, and project teams
  • Anticipate and resolve travel or immigration-related issues
  • Monitor compliance with mobilization procedures and project requirements

Stakeholder Coordination

  • Act as a key point of contact between project teams, logistics providers, travel agencies, and personnel
  • Liaise with immigration authorities and service providers when required
  • Support operational teams with personnel logistics reporting
  • Participate in coordination meetings and provide updates on mobilization activities

Quality & Compliance

  • Ensure all activities comply with project procedures and best industry practices
  • Maintain accurate and up-to-date personnel logistics documentation
  • Support quality assurance processes and reporting requirements
  • Contribute to continuous improvement of logistics and mobilization processes

Tools & Systems

  • Microsoft Office Suite (mandatory)
  • Personnel tracking and logistics coordination systems
  • Travel and accommodation booking platforms
  • Project documentation and reporting tools 

Candidate Profile

Education

  • Degree or equivalent qualification in Logistics, Administration, Business Management, Operations, Human Resources, or a related discipline
  • Relevant certifications in logistics or personnel coordination would be advantageous

Experience

  • Minimum 3 to 5 years of experience in a similar Personnel Coordinator, Logistics Coordinator, or Operations Support role
  • Experience supporting Subsea, Offshore, Energy, Oil & Gas, or Industrial Projects is highly desirable
  • Proven experience managing personnel mobilization and international travel arrangements
  • Experience coordinating immigration and visa processes
  • Experience working within multicultural and international project environments

Technical Skills

  • Strong understanding of personnel logistics and workforce mobilization processes
  • Knowledge of immigration, visa, travel, and accommodation coordination
  • Advanced proficiency in Microsoft Office
  • Ability to manage multiple priorities and deadlines simultaneously
  • Strong organizational and reporting capabilities
