We're looking for a Senior Project Administrator to play a key role in setting up and supporting a new project. Partnering with senior leaders and project teams, you'll help implement efficient ways of working, coordinate key activities, and ensure the project office operates seamlessly from day one.

Job Tasks and Responsibilities:

  • Provide proactive, high-level executive and project administration support to two Senior Managers and their respective project teams, enabling effective delivery across a complex project environment.

  • Support the establishment and ongoing coordination of a new project office, bringing together people, processes, systems, and ways of working to create a well-structured and efficient team environment.

  • Coordinate complex domestic and international travel arrangements, accommodation bookings, mobilisation logistics, and related requirements in line with project and business procedures.

  • Manage calendars, meeting schedules, team events, workshops, and key project forums, ensuring priorities are aligned and stakeholders are well prepared.

  • Prepare agendas, coordinate meeting logistics, capture accurate minutes, track action items, and follow up with stakeholders to support timely delivery and accountability.

Skills and Experience:

  • Demonstrated experience providing senior-level administrative, executive, or project office support within a fast-paced project, engineering, construction, resources, or professional services environment.

  • Strong capability in establishing and improving project office processes, systems, rhythms, and ways of working, with the confidence to bring structure to evolving or ambiguous environments.

  • Exceptional organisational skills, with the ability to manage competing priorities, anticipate requirements, follow through on actions, and keep senior leaders and project teams on track.

  • Highly collaborative and people-focused, with proven ability to build trusted relationships, connect stakeholders, and support effective communication across multidisciplinary teams.
