Job Title: Senior Technical Documentation Administrator
Duration: 24 months
Schedule: 5 days per week
Location: Ras Laffan, Qatar
Job Purpose
- Provide domain knowledge and co-ordinate with team members in developing, supporting and executing LOTS project.
- Assist in preparing management internal reports and analysis.
- Carry out SAP entries and generate reports from SAP and dashboards.
- Prepare reports, presentations, etc. for management and other stakeholders.
- Provide a high level of co-ordination/performance of various administrative and clerical support activities within LOTS and Projects Management Administration.
Job Context & Major Challenges
- Should be able to explain procedural formalities.
- Provide support to multiple business areas on a timely basis.
- Proficient in SAP ESM / MM module to carry out related transactions accurately.
- Identify and address system-related issues which may affect release of orders, Service Entry Sheets and payments.
- Bring work requirements and pending issues to attention for resolution.
Key Job Accountabilities
- Administer the incoming and outgoing correspondence process, ensuring receiving, registering and distribution activities are completed in a timely and orderly manner.
- Administer a filing system for all documentation, ensuring fast and easy retrieval when required.
- Assist Division staff in preparing various documents and reports, ensuring updates are completed and issued on time.
- Assemble document packages, prepare controlled and uncontrolled copies for distribution, maintain records and verify accuracy before release.
- Monitor databases and generate regular reports on the status of key issues.
- Organize meetings, assist in the preparation of minutes of meetings and monthly status reports, and ensure distribution to relevant parties.
- Liaise with company departments to maintain effective documentation management and archiving requirements.
- Understand and utilize Projects Management System (PMS) policies and procedures.
- Maintain proper filing of records for audit purposes.
- Participate in the development, review, improvement and implementation of business processes and workflows.
Qualifications
- Bachelor of Business Administration degree from a recognized university is preferred.
- 3 years of relevant work experience in database and/or data file repository management.
- 1 year of experience in a Scheduling & Calendar Management environment.
- Excellent computer literacy, with high proficiency in:
- MS Word
- MS Excel
- MS PowerPoint
- MS Outlook
- Knowledge of MS Access is an advantage.
- SAP knowledge is mandatory
