Position Overview

Our client is seeking an experienced Office Manager to oversee the day-to-day operations of its Tokyo office.

Acting as a key liaison between internal and external stakeholders, you will play a critical role in maintaining an efficient, professional, and engaging workplace environment. Working closely with the North East Asia regional team, you will be responsible for office operations, workplace experience initiatives, facilities coordination, vendor management, and general administration.

This role is ideal for a proactive individual who enjoys managing multiple priorities and creating an outstanding employee and visitor experience.


Key Responsibilities

Office Management

  • Oversee the day-to-day operations of the Tokyo office
  • Manage office supplies, equipment, and workplace facilities
  • Coordinate incoming and outgoing mail and courier services
  • Welcome and assist visitors and external guests
  • Support internal meetings and office logistics

Workplace Experience

  • Coordinate and execute employee engagement initiatives and office events
  • Enhance employee and visitor experience within the workplace
  • Support internal communication and workplace culture initiatives

Facilities Coordination

  • Liaise with cleaning, security, catering, and other service providers
  • Coordinate office maintenance and repair activities
  • Manage relationships with building management and facility vendors

Administration

  • Process invoices and support procurement activities
  • Create purchase orders and manage supplier registrations
  • Maintain administrative systems and records
  • Support office policies and operational procedures

Health & Safety

  • Support workplace health, safety, and compliance initiatives
  • Assist with office improvement projects and workplace enhancements

Requirements

Must-Have Qualifications

  • Minimum 3 years of experience in one or more of the following areas:
    • Office Management
    • Workplace Coordination
    • Facilities Coordination
    • Office Administration
  •  Experience using Japanese and English in a professional work environment
  • Strong multitasking and organizational skills
  • Excellent interpersonal and communication abilities
